Job Posting - Member Services Coordinator

The Member Services Coordinator will provide administrative and clerical support to the Cambridge Retirement System.  Under the supervision of management staff, the specific duties of the position include but are not limited to the following:

Essential Duties and Responsibilities

  • Provides support for active and inactive members of the Cambridge Retirement System, including initial onboarding, account maintenance, explanation of benefits, retirement counseling, and research of prior Retirement System membership or MA State employment.
  • Data entry of active members’ regular, 2%, and additional payroll pension contributions, as well as transfer-ins from other MA Retirement Systems or financial institutions.
  • Works with Accounting to balance the supplementary schedule on a monthly basis, resolving discrepancies when necessary.
  • Prepares makeup and redeposit calculations for the monthly Board meeting agendas.
  • Maintains and tracks various databases, including pension contributions, new member enrollment paperwork, beneficiary selections, make-up and redeposit payments, (3)(8)c payments, and retirees with erroneous pension contributions.
  • Communicates with various City of Cambridge departments/units, MA Retirement Systems, and other MA State/County/Municipal agencies.
  • Responsible for various annual duties such as member statements preparation and mailing, transfers to pension reserve, and calendar year posting of interest.
  • Group presentations of chapter 32 for departments and new hires as needed.
  • Provides documentation and support for City audits and PERAC audits.
  • Performs general office tasks, including answering the phone, responding to inquiries via phone, mail, email or in-person, writing letters, filing, scanning, preparing bank deposits, and troubleshooting logistical or administrative issues.
  • Other duties as assigned by the Executive Director, Deputy Director, or Retirement Board.

Support Responsibilities

  • Assists with completion of retirement applications and refund applications.
  • Support for retirees with account maintenance and generating documents such as affidavits, 1099Rs, and monthly checks.
  • Technical and clerical support for Board meetings.

Education and Experience

  • High School Diploma or equivalent and 3-5 years of administrative experience, preferably in a human resources & benefits capacity; some college coursework in human resources or related field is a plus; or any equivalent combination of education, training and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job.

Essential Skills

  • Excellent organizational skills and ability to prioritize and multi-task.
  • Demonstrated skills in planning with a good knowledge of employee benefits functions, preferably in a public sector environment.
  • Ability to work in a confidential environment as a reliable team member.  
  • Ability to exercise sound judgment and negotiate priorities with multiple supervisors.
  • Strong knowledge and experience using MS Word, Outlook, and Excel.
  • Ability to communicate orally and in writing with diverse populations. 
  • Proficient with, or the ability to quickly learn payroll & benefits management systems, human resource information systems (HRIS), and similar computer applications.
  • Flexibility to adapt to changing technologies and organizational needs.

Preferred Skills

  • Familiarity with MA GL Ch. 32
  • Prior experience with PTG
  • Multilingual skills in Spanish, Portuguese, Haitian-Creole, Mandarin, or any other language spoken by the Cambridge community preferred but not required.

Physical Requirements

  • Work requires the ability to access, input, and retrieve information from a computer. Ability to read and analyze large quantities of information. Work Environment

  • Work is conducted primarily in a standard office environment which includes fluorescent lighting, air conditioning, computers, and other standard office equipment. This position may be eligible for hybrid work, depending on operational needs.

Salary

  • Range from $62,992 to $86,928 depending on qualifications and experience.  The City of Cambridge offers an excellent benefits package.
